This dispute is about whether a refund was due and whether it was issued, not about whether the original shipment left the warehouse.
Lead with the refund or credit record if one exists. Add only the policy and return timeline needed to explain the decision.
If you already issued the credit, the processor confirmation is the exhibit that matters most.
Zocuments does not submit the dispute or issue the refund. It only helps you label the records you already have.
Records that usually help
Usually helps
- Refund or credit record. Refund transaction ID, date, amount, processor confirmation, or store-credit record.
- Policy terms. The return, cancellation, restocking, or store-credit policy the customer saw before purchase — the relevant section only.
- Return or cancellation status. Return tracking, inspection result, cancellation timestamp, a missed deadline, or service-usage during the period.
- Support communication. Messages that explain the refund decision, a partial refund, or the timeline you gave the customer.
Usually does not help
- Original outbound tracking by itself. Showing you shipped the item does not answer a claim that a later refund was missed.
- The entire terms of service. Card issuers are unlikely to search a long contract for one refund clause.
Processor notes
File limits, deadlines, and outcomes come from your processor. These notes summarize public help articles; check the portal for the case in front of you.
How this looks in a packet
Put the refund record first when you have one. Policy and return status support the explanation; they should not bury the credit.
