Triage the status before contacting support
Save these case facts
- The processor and payment method
- The exact status: lost, under review, or a new pre-arbitration case
- The reason, amount, and original response deadline
- The evidence you submitted and the submission confirmation
- Any issuer response, customer withdrawal letter, or new deadline
What the status may mean
| If you see | Your next move | Avoid |
|---|---|---|
| Lost with an issuer response | Read why the submitted evidence did not carry the case; record the lesson. | Calling the issuing bank directly. |
| Under review | Wait for the processor's stated process while keeping the case records together. | Telling the customer the funds are recovered. |
| A new pre-arbitration chargeback | Treat it as a new response with its own deadline and evidence fields. | Assuming the first win guarantees the second. |
| Customer says they withdrew it | Ask for the official withdrawal documentation and follow the processor's process. | Refunding and assuming the bank has already reversed the dispute. |
If there is no further case path
Use the lost case as a process review. Which record was missing? Did the evidence answer the reason, or only prove that the order existed? Was the strongest proof first and readable inside the processor's file limits? The evidence guide and response packet guide are useful before the next notice, not as a promise to reopen this one.
What to tell the customer
Be precise: the processor reported the bank's decision, what amount was affected, and what resolution you can actually offer. If the customer agrees the dispute was a mistake, explain that they must follow their bank's withdrawal process; you cannot contact the issuing bank directly for them.
